Landlord Fees & Services

We provide the following  four core service levels.

For Landlords choosing Contact Management or Tenant Find Only services, additional actions can be commissioned on an ad-hoc basis, as required and as per the fee schedule outlines in detail below.

For all Landlords, we can make arrangement for the commissioning of third-party services to provide obligatory documentation (such as Gas Safety certification or EPC provision), and recommended services (such as Legionella testing, PAT testing, and third-party inventories). Prices for these services will be billed by Underhill at the rates indicated below.

Full Management • Marketing property • Identity Checks • Credit Checks • Condition Report inc. inventory • Lodging deposits • Collecting rent • Providing the first point of contact for tenants on all issues • Resolution of simple issues where practical • Reporting of all matters in a timely fashion to the Landlord, with recommended responses. • Serving all notices • Check-out processes. • All in-house administration of tenancy • All arrangement of third-party services • Regular inspections & condition reports • Other duties as required for the management of the tenancy. Excludes: third party costs (e.g. Gas Safety, third party inventories, repair costs etc). 1 month’s rent plus 10% + VAT Effective rate 15% + VAT Effective rate 17% per month
Contact Management • Marketing property • Identity Checks • Credit Checks • Condition Report inc. inventory report • Lodging deposits • Collecting rent • Providing the first point of contact for tenants on all issues • Resolution of simple issues where practical • Reporting of all matters in a timely fashion to the Landlord, with recommended responses. • Serving basic notices • Check-out processes. • Other services may be purchased on an ad-hoc basis. 1 month’s rent plus 10% + VAT Effective rate 12% per month
Tenant Find Only • Marketing property • Identity Checks • Credit Checks 1 month’s rent + VAT

Landlords withdrawing a property from either fully managed or contact managed services with a tenant in situ, are required to issue Underhill with 2 months’ notice in writing on the calendar anniversary of the rent due date; and to pay a termination fee equivalent to 1 months’ rent plus VAT (effective rate 120% of the monthly rental value).

Third Party Services

Third Party services include the following and are subject to quotation as they are dependent on the size and scope of the property and the works required. Charges are made through Underhill, but the works are commissioned from external contractors. We endeavour to ensure best value for money is achieved for our clients.

Energy Performance Certificates (EPC)
Gas Safety Certificate
Electrical Installation Condition Report (EICR)
Legionnaires Risk Assessment
Portable Appliance Testing (PAT)

and other certifications as may be required from time to time.

Service Comprising Cost
Block Management Management of: • Monthly collection of the service charge to each unit. • Management of the building finances and reserves account. • Building Management • Building Maintenance • Building Insurance • Annual report • Record Keeping Prior to commencement, we will ensure that the statutory checks are carried out and condition reports, creating a management plan for the building. (costs to be met from the building reserves): • Gas safety checks • Fire safety risk assessment • Fire door checks • Legionella checks • Emergency lighting checks • Asbestos checks (if applicable): • Electrical Safety Checks • Plumbing • Cleaning of communal areas • Grounds Maintenance NB: condition surveys, reports and external contractor’s costs to be met by the service charge accounts. Initial set up £2,000 plus VAT plus £20 plus VAT, per unit per month.

The withdrawal from a block management contract must be notified in writing with 3 months’ notice on the calendar anniversary of the rent due date; and to pay a termination fee equivalent of £2500, plus VAT, to cover the costs in managing the transfer of accounts, records and related information.
